OFFICE ADMINISTRATOR

JOB DESCRIPTION

The purpose of the Office Administrator is twofold:

1.) to facilitate the day-to-day administrative and programmatic functions of United Church of Christ La Mesa (UCCLM), inclusive of providing clerical support to the Senior Minister and other staff members and church programs.

2.) to oversee the day to day administrative operations of UCCLM.

The Office Administrator will organize, develop and implement improvements to day-to-day office management of the church.

Areas of Responsibility

Clerical & Administrative

  • Provide administrative support to UCCLM by preparing printed bulletins, weekly news e-announcements using a number of media (including but not limited to print, html email, or their functional equivalents), prepare the Annual Report, and handling information requests. Print and distribute monthly newsletters, annual directory and other materials and related tasks as needed.
  • Assist in maintaining church website content by uploading, announcement posts, sermons and content as needed.
  • Perform clerical functions such as preparing correspondence, receiving visitors, checking and responding to email and mail, answering phone calls, printing, copying, and scanning documents, etc.
  • Provide administrative assistance to the Senior Minister.
  • Maintain church documents and files both electronic and analog.
  • Maintain and publish church calendar including building use and daily log.
  • Keep up-to-date inventories of office supplies and postage. Order and buy supplies as needed.
  • Oversee the day-to-day physical plant of the church, ensuring tidiness of office, alerting Ministry of Administration and Finance of building issues.
  • Schedule any building and equipment maintenance.
  • Act as the liaison to groups using the facilities.
  • Set up audio and video equipment for outside groups using the facilities, as needed.
  • Keep bulletin boards updated with information.
  • Count monetary donations on a weekly basis.

Other duties as assigned and/or necessary.

Updating job description regularly in consultation with the Senior Minister and Human Resources Committee, as needed.

Special Projects and Other Duties

The Office Administrator is expected to have a flexible “can do” spirit to tackle duties that are not a part of his/her formal job description. These may include overseeing campaigns and initiatives or providing additional leadership within a functional area.

Reporting & Evaluation

The Office Administrator reports to the Senior Minister. Reviews will be conducted by the Senior Minister and the Human Resources Committee.

Qualifications

The Office Administrator must:

  • Share in the vision, mission and teachings of UCCLM, a theologically progressive, open and affirming congregation of the United Church of Christ.
  • Possess social media and administrative writing skills, reporting skills, supply management, scheduling, organization, database management, time management, basic equipment maintenance, verbal communication skills.
  • Proficient computer skills, using Microsoft Office, Google Drive, email, website and electronic newsletter content management, document management, using templates, and must be willing to expand skills as needed.
  • The ability to work well with people and to maintain confidentiality is a necessary qualification.

Job Type: Part-time

Pay: $21.00 - $24.00 per hour

Schedule:

  • Monday to Friday
  • Weekends as needed
