Shop Administrator

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Responsible for entering and tracking work orders, purchase orders, inventory, and asset information in a computer-based inventory system called UPKEEP, and/or Excel spreadsheet.
  • Responsible for purchasing and managing inventory by reviewing hourly and estimated jobs, entering purchase orders, and changing purchase orders as required. Source, select and negotiate purchases or services for all inventory, assets, job materials, and job rentals. Forecast potential problems and develop strategies on how to prevent or solve them.
  • Determines the need for expediting, follows up on late orders, and monitors delivery performance taking corrective action as needed. Resolves accounting discrepancies and processes supplier returns/rejections. Accurately perform inventory counts in a timely manner. Must have Inventory control experience as well as good organizational skills. Conduct an ongoing audit of inventory, counting and verifying the accuracy of the physical location and quantities. Must be able to load/unload materials using a forklift and pallet jack.
  • Responsible for planning and the execution of a weekly maintenance schedule for all welders, trucks, and all shop equipment. Must be able to perform basic repair and test of all shop equipment. Maintain organized documentation of non-repairable equipment, equipment replacement request, and timeframe of all repairs. Identifying deficiencies, equipment training, and abuse/theft to management. Coordinate building maintenance – cleaning vendors, exterminator vendors, etc.
  • Manage calendar system- QuickBooks TIME: hourly, estimated, emergencies, and production calendar. Communicate updated shop schedule with all team members and coordinate with clientele when required. Assign new work orders and update QuickBooks Time with customer information, job description, and completion of required documentation/signatures. Assist with newly awarded projects by tracking details, providing submittals, and maintaining accurate files. Keep bid list current and readily accessible. Maintain estimating database. Communicate with customers to address inquiries and resolve issues. Build and maintain customer loyalty by providing courteous and outstanding customer service and follow-up.

JOB REQUIREMENTS & QUALIFICATION:

  • Knowledge of sheet metal fabrication a plus
  • Proficient in Microsoft Office (Required)
  • Minimal lifting required when taking in shipments or taking inventory
  • Experience in an office and shop setting (required)
  • Minimum of Associate Degree in Office Management or similar preferred, but not required with experience. Ability to read, write and to follow instructions, and work independently with little guidance.
  • Ability to successfully instruct and direct personnel in a non-direct reporting relationship
  • Ability to stay calm in stressful situations
  • Ability to hear, process and relay information accurately/ effectively communicate
  • Ability to make independent decisions that contribute to team success

Pay: $19.00 - $25.00 per hour
