Full Salary Range: Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range for this position is $27.88 to $36.58/hr. The hourly range the University reasonably expects to pay for this position is $27.88 to $29.89/hr.

Work Location: UCSB Library

Working Days and Hours Monday-Friday; 8am - 5pm

Brief Summary of Job Duties

Under the direction of the Unit Head of Technical Operations, and under the oversight of the Metadata Management / Cataloging Librarian performs record maintenance to primarily print materials: location changes, withdrawal of titles from collections, updating holdings and items records, and updating records for database projects. Hires, trains, and supervises student assistants in record maintenance tasks.

Under the direction of the Unit Head of Technical Operations, manages the workflow of marking operations. Using initiative, originality, and judgment, establishes daily priorities for work of student assistants. Hires, trains, and supervises student assistants in marking tasks. Responsible for all activities related to the marking and bar-coding of material received from library departments, and for ensuring that materials are labeled and routed accurately and in a timely manner. Liaises with and consults other library and academic departments regarding the marking various materials.


Required Qualifications

  • High School Diploma or GED.
  • Excellent organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • High degree of computer literacy and comfort in the digital environment; the ability to independently learn new technologies and their applications in libraries and to instruct colleagues in their use.
  • Must be able to meet multiple deadlines in a fast-paced academic environment.

Preferred Qualifications

  • Library experience and/or equivalent combination of education and work experience.
  • Associate's Degree or Bachelor's degree or equivalent experience and/or training.
  • Ability to interpret and apply complex description, filing, and data entry procedures.
  • Experience with MARC Cataloging.
  • Experience with ExLibris Alma.
  • Experience with supervision.

Job Functions/Percentage of Time/Duties

  • Database Maintenance (60%): Without revision, and with a high degree of independence, carries out the following duties associated with the maintenance of records in all
    formats in the Library Catalog: Searches WorldCat for correct or updated copy for previously incorrectly cataloged monographs and serials in all Roman alphabet languages. Resolves unusual problems in consultation with the Metadata Management / Cataloging Librarian. Searches WorldCat for updated copy for volumes added to previously cataloged monographic titles. Updates local bibliographic, holdings and item records with added volume information. Routes volumes with inadequate copy in WorldCat to the Discovery Services Unit Head. Searches WorldCat for analytic copy for monographic sets and serials when previous decision to analyze is recorded in the Library Catalog's database. Routes materials with inadequate copy or no copy to Discovery Services Unit Head. Resolves location and holdings discrepancies. Determines the correct locations and holdings, and enters them in the Library Catalog. Corrects and re-links item records and barcodes materials as necessary. Routes any materials which need relabeling to the appropriate Unit. Enhances vendor-provided bibliographic records. Following load- specific procedures, performs systematic cleanup or enhancement of vendor-provided MARC records in the Library Catalog. Processes circulating items for relocation to SRLF. Compares our holdings with NRLF and SRLF holdings. Updates the Library Catalog to reflect the location and item policy change; updates holdings as
    needed. Processes discards. Updates the Library Catalog to reflect the results of the discard transaction. In cases where all material associated with the record has been discarded, withdraws the Library Catalog record. Monitors Catalog Maintenance shelves and catmaint@ucsb.edu email. Troubleshoots reported cataloging problems and updates catalog accordingly or routes to the appropriate Unit for reconciliation.
  • Marking- Physical Processing (25%): Manages the processing of materials including: stamping ownership; applying detection strips; typing, replacing, and affixing labels; inserting circulation slips; tipping in errata slips; affixing gift plates; and covering book jackets. Following procedures for bibliographic entries, reconciles labels on materials with the data provided by catalogers, consulting as necessary, and maintaining quality control. Identifies and sorts material by routing designation and Alma task to be completed. Manages Alma tasks to update volume holdings, verify/correct locations, change status code, create item records, input item-specific data, and bar-code marked material. Withdraws and re-links item records when necessary; processes complex material; updates monograph set records (copy status 2 and 3); and researches and resolves records in error. Distributes material to collections/departments on schedule.
  • Supervision & Administration (10%): Interviews, hires, trains and evaluates student assistants. Coordinates disciplinary process. Reconciles and approves student time sheets, reports monthly use of GA allocation and expenditures, and prepares analysis and future projections. Develops and updates procedures and training materials. Establishes and revises procedures for efficiently processing and handling materials. Assigns and schedules work. Compiles monthly statistics, interpreting data to report on staffing, workload, accomplishments and problems, and projections of future workload. Monitors workflow and determines priorities to mitigate backlog and ensure high priority materials are processed in an efficient and timely manner. Reviews the work ensure quality control. Offers feedback and training to maintain high levels of understanding and quality. Monitors and orders supplies and equipment for record maintenance and marking perations. Interprets and applies relevant campus and Library policies and procedures.
  • Professional Engagement & Development (5%): Expands knowledge of the job, library technical services (methods and tools), and broader Library and University policies by attending training sessions, seminars, and workshops; participating in self-directed tutorials; consulting print and electronic resources, and participating in the ReADS learning activities. Attends regular departmental and unit meetings. Participates in library and system-wide committees, as appropriate.
