The Executive Assistant - DC is a trusted partner to the CEO who executes a diverse range of administrative responsibilities in a fast-paced, dynamic environment with a high level of professionalism and in a manner that reflects positively on the organization. The Executive Assistant -DC provides daily support and assistance to the CEO and is the key liaison internally across divisions and externally with clients and vendors.
Responsibilities:
- Act as a link to the CEO for contacts inside and outside of the organization
- Fulfill administrative duties for the CEO when he is in Washington, DC
- Under the guidance of the Chief of Staff, manage external calendar as it relates to requests for speaking at conferences, preparing for presentations, webinars/social media
- Support successful preparing of CEO for all events, including pre-work assigned.
- Send and track outreach emails to key stakeholders globally
- Under the guidance of the Communications team, coordinate the scheduling of podcasts/social media/PR opportunities and plan/schedule the prep work associated with the event.
- Under the guidance of the Chief of Staff, send follow up communications ensuring next steps from external meetings
- Plan and organize events with colleagues and external services in Princeton, NJ and Washington, DC
- Plan and organize leadership meeting and off-site meeting logistics for internal staff, including onsite for support
- Manage database and contact list for external contacts
- Manage sensitive matters with a high level of confidentiality and discretion
- Prioritize and engage in the full scope of meeting management by utilizing technological tools; from setting up engagements, video conferencing, technology needs, presentation materials, catering, etc.
- Project a positive, professional image toward clients, vendors, and staff in all interactions and situations
- Perform research and ad hoc duties as assigned
- Adhere to ethical standards & comply with the laws and regulations applicable to the job function

Education & Experience:
- Bachelor’s degree preferred
- 5+ years’ experience supporting a C-level executive
- Proven experience and proficiency in Microsoft Office suite, Social Media platforms, and video-conferencing platforms like Microsoft Teams and Zoom, with the ability to learn new tools/technologies
- Experience and interest in internal & external communications a plus
