The Maritime Administration is the agency within the U.S. Department of Transportation dealing wi! th waterborne transportation. Its programs promote the use of waterborne transportation and its seamless integration with other segments of the transportation system, and the viability of the U.S. merchant marine. The Maritime Administration works in many areas involving ships and shipping, shipbuilding, port operations, vessel operations, national security, environment, and safety.
This position is located in the Department of Physical Education and Athletics at the U.S. Merchant Marine Academy, Kings Point, New York. The Academy is a four-year, accredited, degree-granting institution of higher education where selected young men and women are prepared for service as officers in the American Merchant Marine and as officers in the U.S. Naval Reserve. The candidate serves as the principal clerical and administrative support for the Department.
The Mission of the United States Merchant Marine Academy is to educate and graduate licensed merchant mariners and l! eaders of exemplary character who will serve Americaâs marin! e transportation and defense needs in peace and war.

As a Secr! etary (OA) , you will:
Assist the supervisor by performing as many office duties as possible for the purpose of increasing the effectiveness of others in the organization. Review correspondence for neatness, accuracy, and adherence to established format and Departmental policies. Create reports for supervisor using PowerPoint and Excel.
Receive visitors and telephone calls, determine nature and purpose of the call and refers to the appropriate person. Personally takes care of many matters and questions. Personally handle requests for information based on requesterâs right to receive it. Tactfully postpone matters which require background information before presenting a caller to the Supervisor. Provide advice and assistance to staff. Takes minutes at meetings and disseminates correspondence appropriately and timely.
Maintain files, records, manuals and other related materials for the organization. Maintain supervisorâs calendar and reminds supe! rvisor of appointments. Arrange travel (reservations) and completes tra! vel orders and vouchers for supervisor. Receive incoming mail. Serve as timekeeper for the office. Assist others within the office with some of their required tasks.
QUALIFICATIONS REQUIRED:
To meet the minimum qualifications for this position, you must meet either the education or experience qualifications for the grade at which you are requesting consideration.
GRADE 6
There is no education substitute
Experience providing administrative support; maintaining records, files and document management; and providing a full range of secretarial duties such as travel, timekeeping, completing forms, receiving phone calls, and greeting visitors .

CONDITIONS OF EMPLOYMENT:
Males born after 12/31/1959 must be registered for the Selective Service.
You must complete a one-year probationary period (unless already co! mpleted).
You must be able to type at least 40 WPM.
Successful completion of a background investigation is required prior to appointment.

If you meet the qualification requirements, your application will be placed in one of four categories: Platinum, Gold, Silver or Bronze, which is based upon your responses to the vacancy questions.
