Job Title: Part-Time Administrative and HR Assistant
Job Description:
We are currently seeking a part-time Administrative and HR Assistant to work in our small business office that manages a medical corporation and drug treatment center in California. The candidate will be responsible for providing administrative and HR support to the organization.
Responsibilities:
- Answering phones as needed
- Filing and organizing
- Shredding
- Making phone calls on behalf of the executive director
- Creating files and labels
- Finalizing patient files upon discharge
- Auditing and data entry
- Informing the administrative manager of missing documents
- Bank deposits
- Checking the mailboxes daily
- Assisting with patient admissions as needed
- Preparing medical bills for the bookkeeper
- Collecting receipts to accompany credit card statements
- Ensuring HIPAA compliance
- Assisting with bookkeeping using Quickbooks
- Creating new employee files
- Reviewing staff schedule with manager
- Assisting HR Manager with payroll administration
- Maintaining employee confidentiality
- Ensuring employee file compliance
Requirements:
- A minimum of 5 years’ experience as an Administrative Assistant
- Bachelor's degree preferred
- Payroll and human resources experience
- Five years' experience with Quickbooks (preferred)
- Medical Office experience and HIPAA knowledge required
- Excellent interpersonal, writing, communication, and ability to interact respectfully with people of all levels
- Must adhere to legal, professional, ethical, HIPAA codes and regulations on confidentiality and privacy
Working conditions:
Employees will be working indoors within a ventilated facility.

This is a part-time position with flexible hours. The pay is commensurate with experience.
