Prestigious Long Island based estate planning firm is seeking an Executive Assistant who will be integral in the management of the sales and maintenance process of multi-million dolla! r prospects clients. This autonomous position reports directly to the President of the company. Qualified candidates will have a take charge attitude, be driven to learn, like to solve problems and help people. Our estate planning firm offers risk management solutions and investment advisory services.
Our clients expect and receive the best representation and we provide integrity and trust to every client interaction.Job Responsibilities Proactively maintain a dynamic schedule coordinating the schedules of the President, prospects and clients. Provide follow up and tracking for clients prospects Arrange travel for the Presidentâs corporate and personal needs Utilize a system to manage all correspondence, including telephone, email, letters, faxes, etc. Maintain a highly organized office and perform all general office duties including preparation of all sales materials needed for prospective client meetings in accordance with company protocol Act as the Presidents! first point of contact from people inside and outside of the ! organization Review incoming emails, faxes and mail and respond appropriately Regularly stand in for the President, making decisions and delegating to others in his absence Organize and attend company meetings and act as the eyes and the ears of the President Organize staff meetings for office Organize and manage Presidentâs home life and personal activities as requested Develop systems and methods to improve office efficiency and organization Supervise entry level support staff Organize and execute event planning for corporate and personal functions as well as Holiday PartiesSkills Excellent organizational and multi-tasking skills essential Ability to anticipate the needs of the President, clients, and prospects Ability to work for someone who is under extreme pressure and is a stickler for details Understanding of the critical role they play the success of the company through their involvement in sales scheduling Ability to perform under pressure Excellent communicator/! listener who can articulate situations/scenarios briefly and to the point Strong writing skills Strong work ethic Excellent interpersonal skills Ability to be proactive, take personal initiative and use common sense Excellent computer skills, such as Excel, Word, PowerPoint, OutlookIf you are looking to excel in a high performance, customer oriented position for great compensation and benefits we would love have you as part of our team.
